Medication Cabinet (optional)
Build digital medication cabinets, assign them to activities, and let students dispense, waste, and return medications alongside the patient chart.
The Medication Cabinet is ChartFlow's digital pharmacy and inventory system. It replicates an automated dispensing cabinet (like a Pyxis or Omnicell) so students can pull, waste, and return medications during clinical scenarios, while every transaction is recorded in an Audit Log.
This guide follows the full workflow: build a cabinet, stock it, assign it to an activity, see how students use it, and review the Audit Log.
The Medication Cabinet is an optional feature that must be enabled for your program.

Accessing Medication Cabinets

- Click Organizations in the left sidebar and open your organization. Note: cabinets can only be built by Organization Admins.
- Select the Cabinets tab. This is your organization's list of digital medication cabinets.
- Use the Search bar to find a cabinet by name, which is useful for organizations with multiple simulation labs.
- Click + New Cabinet at the top right to create a new cabinet from scratch.
- Click Manage Cabinet next to any existing cabinet to open its settings. Inside you will find three tabs: Layout, Inventory, and Audit Log.
💡 Tip: Avoid generic names like "Cabinet 1". Use a naming convention based on your physical labs, courses, or clinical settings (e.g., Nursing Sim Lab A - MedSurg or EMS Pharmacy Bag). This makes it much easier for instructors to assign the correct cabinet to their activities.
Building the Cabinet Layout

- The Layout tab opens by default. Enter or edit the Cabinet Name at the top.
- Click + Add Drawer to create a main tier of the cabinet. Drawers represent the shelves or drawers of a real dispensing cabinet.
- Give each drawer a name that matches your lab setup (e.g., Drawer 1, Top Shelf, Narcotics Drawer).
- Expand a drawer using the chevron on the right, then click + Add Bin to create compartments inside it. Each bin will hold one medication.
- Name each bin (e.g., Bin 1, Pocket A). Use the up and down arrows to reorder drawers and bins, or the red trash can to delete one.
- Click Save Layout at the bottom left. Layout changes do not save automatically.
⚠️ Save Before You Leave
Structural changes to drawers and bins are only saved when you click Save Layout. Do this before switching to the Inventory tab or leaving the page, or your changes will be lost.
💡 Tip: For the most realistic simulation, mirror the physical medication carts or dispensing machines in your lab. This builds spatial familiarity that carries over to real clinical practice.
Stocking the Inventory

📋 Inventory Table Details
🗄️ Drawer & Bin: Where the medication sits within your cabinet structure.
💊 Medication: Generic name, strength, and route/form (e.g., Ipratropium Bromide, 18 MCG/INH, Inhalation; Aerosol, Metered).
🔢 Quantity: The number of units currently available for students to dispense.
🎯 Par Level: The target stock amount for that bin. This is what Restock All to Par resets the Quantity back to.
⚖️ Drug Schedule: The DEA classification (Non-Controlled, or Schedule II through V). Controlled substances require a Witness sign-off when withdrawn or wasted.
✏️ Actions: Click the Edit pencil to change the medication, quantity, or par level. Click the red Delete icon to remove the medication from the cabinet.
🔄 Restock All to Par: The button at the top right of the table. Click it to instantly reset every medication's Quantity to its Par Level. Ideal for resetting the lab between class sessions.
💻 Device Registration
Next to the cabinet name you may see a green Registered on this computer badge. This means the current device (computer or tablet) is bound to this cabinet, which is typically used for kiosk stations in physical simulation labs. Click Unregister This Computer if you need to move the hardware to a different station or lab.
Adding or Changing a Medication in a Bin
- Make sure the drawer and bin already exist. If not, add them on the Layout tab and click Save Layout.
- Open the Inventory tab. A bin with nothing assigned shows Empty in the Medication column, with Quantity and Par Level both at 0.
- Click the Edit pencil on that row. For an empty bin, the Select Medication search window opens right away.
- Search by generic name, brand name, strength, or form (e.g., "Aspirin" or "325 MG Tablet") and click the matching result. ChartFlow's shared library holds well over a thousand pre-built medications.
- Back on the Edit Bin panel, enter the Quantity (units stocked right now) and the Par Level (target amount for this bin).
- Click Save. The row updates with the medication's full details, including its Drug Schedule, pulled automatically from the shared library.
- To swap a medication in a bin that is already stocked, click the same Edit pencil, then click the Change link next to the medication name to reopen Select Medication. Choose the new drug, adjust Quantity and Par Level, and Save.
Assigning a Cabinet to an Activity
Building a cabinet does not by itself put it in front of students. Each activity decides whether a cabinet is available and which one it is.
- Open the course, then open the activity (or create a new one) and go to its Details tab. For help creating activities, see our Activities Guide.
- Under Activity Modules, tick Medication Cabinet. The four modules an activity can switch on are Patient Chart, Simulation, Medication Cabinet, and Learning Module.
- A new Medication Cabinet tab appears alongside Details and Grading. Open it.
- Choose how the cabinet should behave (see the 📝 Cabinet Types info box below).
- Save the activity.
📝 Cabinet Types
🏥 Physical Cabinet:
Students share one of the cabinets already built in Organization or Campus settings. Pick it from the Select Medication Cabinet dropdown. Stock is shared, so what one student withdraws is gone for the next until the cabinet is restocked.
☁️ Virtual Cabinet:
Click + Create Activity Cabinet to build a cabinet that belongs to this activity alone. Each student receives their own isolated copy of the inventory, so one student's withdrawals never affect anyone else's.
💡 Tip: Use a Physical Cabinet when the exercise is built around a real unit standing in the lab, especially where that station has its own registered computer. Use a Virtual Cabinet for homework or large cohorts, where every student needs a full, untouched inventory of their own.
Student Experience
📝 Two Ways Students Access the Cabinet
💻 1. Registered Device (Dedicated Cabinet Station):
If a computer or tablet has been registered to a cabinet (see Device Registration above), that device acts as the cabinet itself. Students simply log in on that device and are automatically taken to the cabinet interface. This mirrors walking up to a physical dispensing machine in the lab.

📋 2. From the Patient Chart (Split-Screen View):
When a student opens a patient chart in an activity with the Medication Cabinet module enabled, the cabinet opens as a side panel next to the chart. This lets students review orders and the MAR while dispensing, all within the patient, without a dedicated device.

The left side keeps full access to the Patient Chart (MAR, Visit History, Orders, and more). The right side shows the Medication Cabinet assigned to the activity.
🪪 Patient Context Header:
A dark blue banner at the top of the cabinet panel shows the patient's Name, Age, DOB, MRN, and Allergies, reinforcing the "Right Patient" check before dispensing.
📷 Barcode Scanner Icon:
A barcode icon in the top center of the navigation bar lets students simulate scanning patient wristbands or medication packaging.
🚫 Not Available in this Cabinet:
A greyed-out, unclickable list at the bottom of the panel. These are medications the patient may be prescribed but that are not stocked in this cabinet.
Available Medication Actions
🔵 Dispense (Solid Blue): Pulls the dose from the cabinet inventory.
🟠 Waste (Orange Outline): Documents the disposal of a partial dose, often required for injectables.
⚪ Return (Grey Outline): Places an unused medication back into the cabinet's stock.
⚠️ Controlled Substances Require a Witness
When a student dispenses or wastes a controlled substance (Schedule II through V), they will be prompted to have a second user log in and verify the action, just like a dual sign-off on a real narcotics transaction. The witness is recorded in the cabinet's Audit Log.
Reviewing the Audit Log

The Audit Log tab in a cabinet's settings records a timestamped history of every interaction with that cabinet. Use it to monitor student dispensing, verify medication administration, and track inventory adjustments.
🔍 Filters & Search
📅 Date Range: Set a Start Date and End Date to view transactions from a particular simulation day or class session.
🔽 Transaction Type: Filter the log to a single action, such as only Withdrawals or only Wastes.
🔎 Search Bar: Type a student's name or a medication name to pull up all related activity.
📋 Audit Log Columns
🕒 Timestamp: The exact date and minute the transaction occurred.
👤 User: The name and profile icon of the person who performed the action (an instructor setting up the lab or a student running a scenario).
💊 Medication: The drug name, strength, and form involved in the transaction.
🔢 Quantity: The amount affected. For a Waste, this shows a breakdown (e.g., Wasted: 1 / Admin: 1).
✍️ Witness: The signature of a second user. Required when dispensing or wasting controlled substances that need a dual sign-off.
Transaction Types (Color-Coded Badges)
🔵 Withdrawal (Blue): A user pulled a medication from the cabinet.
⚪ Return (Grey): A user placed a medication back into the cabinet inventory.
🟠 Waste (Orange): A user discarded a portion (or all) of a medication dose.
⚙️ Adjustment (Grey): An admin or instructor manually changed inventory quantities.
💡 Tip: The Audit Log is a powerful grading and debriefing tool. If a student makes a medication error during a scenario, pull up the log during the debrief to show the exact timestamp, medication, and quantity they withdrew compared to the provider's order.
